Webinar Email Funnel
The full webinar email system: last-week-heavy promotion, the reminder trio that lifts attendance, and segmented follow-up within 24 hours.
Build the email system for my webinar. Webinar: [TITLE + THE PROMISE: what attendees can do afterward] Date/time: [WHEN + TIMEZONE] Audience + list: [WHO I'M INVITING + LIST SIZE / CHANNELS] The offer at the end (if any): [PRODUCT/DEMO/CALL + any attendee-only incentive: an exclusive bonus for live attendees measurably lifts show-up rates] Speaker credibility: [WHY ME/US ON THIS TOPIC: one proof point] Build three phases: **Phase 1: Promotion (3 emails + the registration page essentials).** Note the reality: around three-quarters of registrations arrive in the final 2 weeks, a third in the last days, so the sequence compresses toward the date: - Email 1 (10-14 days out): the problem + the promise. What they'll walk away able to do: 3 specific takeaways, not "insights". - Email 2 (5-7 days out): the meat preview, one genuinely useful nugget from the content as proof of value, then register. - Email 3 (1-2 days out): last call, seats/practicality framing, the attendee-only incentive if I have one. - Registration page: headline = the outcome; the 3 takeaways; date/time with timezone; speaker proof line; email-only form. **Phase 2: Show-up sequence (this is where webinars are won; registration means nothing at a ~40-50% typical attendance rate):** - Instant confirmation: add-to-calendar links (the single highest-leverage element), the join link, one line re-selling the value. - T-24 hours: "tomorrow" + one new reason to attend live (the incentive, live Q&A). - T-1 hour and T-5 minutes: short, join-link-first. This reminder trio is worth roughly a quarter more attendees than a single reminder. **Phase 3: Follow-up, segmented, fast (the first 24 hours produce most of the conversions):** - ATTENDED + engaged (stayed, asked, clicked): within 2-6 hours; thank you, the ONE next step (offer/call), deadline for the attendee bonus. - ATTENDED passive: within 24h, recap of the 3 takeaways, replay link, softer CTA + one case study. - NO-SHOW: within 24h, "here's the replay" without guilt, the condensed value pitch, replay available until [real date]. - Everyone, day 3-4: the objection email, answer the top question from the live Q&A, restate the deadline. - Final: deadline day, short, one link. Rules: every deadline stated must be real (replay expiry, bonus expiry), no resetting countdowns. Write all subject lines under 45 characters. Where I haven't provided the offer or incentive, mark [DECIDE: what] rather than inventing one.
